This is an annual payment. One invoice, once a year. Nothing is billed monthly, nothing auto-charges, and no card is kept on file. I invoice you 30 days before renewal and you decide what to do — which is also why the reminder arrives while cancelling still costs nothing.

Email on your own domain

The domain is already yours and already in the price. Mailboxes on it are the one thing that is not, and they are the cheapest upgrade in how your business reads to somebody who has never met you.

Business email

  • you@yourcompany.com instead of a generic address. It is the first thing a client notices and the last thing they forget.
  • Works in Outlook, Apple Mail, Gmail and on your phone. Nothing new to learn and nothing to install.
  • SPF, DKIM and DMARC set up properly, so what you send actually lands in an inbox.
  • Shared addresses as well — info@, sales@, support@ — pointing wherever you want them to.
  • On the same invoice as everything else, renewing with your plan. Never a second bill from anyone.

Or not

Keep the address you already use.

  • Your shared inbox works exactly the same either way.
  • Nothing about the plan changes and nothing is disabled.
  • You can add it later, at the same price, on your next invoice.

Say yes on the order form, or ask me about it first. Adding it a year from now costs exactly the same as adding it today.

What this does not cover

Stated plainly, so nobody finds out after paying.

  • Paid add-on modules. The system itself is included; its optional modules are sold separately, so buy the licence and I install it.
  • Writing your saved replies or your support policy.
  • Live chat, a phone system, or anything that is not email.
  • Custom integrations with software you already run, built to order.
  • Moving an existing helpdesk across with its history. Every build starts empty; ask and I quote bringing it over.

Things I will do, quoted separately

  • Bringing your old data over — Your new app arrives blank, and for most people that is the right way to start. If it is not — you have years of invoices, a real customer list, a library of course material — send me a sample and roughly how much there is, and I will quote moving it. It is usually less than people expect.
  • Writing the words — Page copy, product descriptions, course material. I will tell you for nothing whether what you have is strong enough. Writing it from scratch is a separate job with a separate quote.
  • Building something that is not there — A feature your business needs and the app does not have. Describe what should happen and I will tell you honestly whether it is an afternoon or a fortnight before either of us commits.
  • More room — Storage, bandwidth, users or any other cap on your plan. Ask and I quote the difference. Nothing is rebuilt and there is never a second setup fee.

How your shared inbox gets built

  1. Answer nine questions about your team, which addresses land in it, and your domain.

  2. I confirm the addresses and who answers what, then invoice.

  3. You pay. I register the domain, deploy it, connect every mailbox and send a test message through it end to end.

  4. Within 48 hours your team is logged in and the next customer email lands where all of you can see it.

Before you order

How is this different from a shared Gmail account?

A shared account has no idea who is doing what. Two people answer the same customer, a third assumes somebody else did, and nobody can tell which. This shows you who has a message open, who replied, what is still waiting, and the whole history with that customer. Same email, minus the guessing.

Do our customers know they are emailing a system?

No. They email support@yourcompany.com and get a reply from a person with a name and a signature. There is no ticket number, no "do not reply to this message", and no portal to log into unless you decide you want one.

Can we keep using Outlook or Gmail as well?

You can, but the value goes with it. The point is that everything lands in one place everyone can see. What most teams do is keep their personal mailbox for personal mail and move the shared addresses — support@, info@, sales@ — into here.

What happens when we grow past 10 people?

Email me and I quote the extra seats. Nobody is locked out mid-month and no feature switches itself off while an invoice is being agreed.

Is our customer email actually private?

It sits on a server I manage, at your own domain, behind your own logins. Nothing is shared, sold or used to train anything. I can see it because I administer the machine; nobody else can, and you can ask for the lot back as a full export within five business days.
